Sunhouse Babysitting Agency Inc. (“Sunhouse”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, how we use and share it, and the choices you have. We handle personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA).

This policy applies to our website and the Sunhouse Family Hub and caregiver portal. It does not cover third-party sites we link to.

By creating an account, booking, or otherwise using our website and services, you agree to this Privacy Policy and to our Terms of Service.

1. Information we collect

We collect only what we need to connect families with caregivers and run bookings safely.

  • Account and contact details: your name, email address, phone number, and home or service address.
  • Household and children’s information: your children’s first names and ages, and any allergies, medical conditions, behavioural needs, routines, or care preferences you choose to share, along with guardians, emergency contacts, pets, and home access notes.
  • Booking information: the dates, times, locations, and notes for your bookings, and messages you exchange through our booking chat.
  • Payment information: membership and agency-fee payments are processed by third-party payment providers. We store limited billing details such as your subscription status and credit balance. We do not store full card numbers.
  • Identity verification: if you verify your identity, a third-party provider performs the check. We receive and store only the result (for example, verified or not verified), not your identity documents or photos.
  • Technical and usage information: device and browser information, approximate location derived from your IP address, and how you use our site, collected through cookies and analytics to keep the service working and to improve it.

2. How we use your information

  • To match your family with suitable caregivers and manage your bookings.
  • To share the information a caregiver needs to care for your child safely during a booking.
  • To process payments, memberships, and credits, and to communicate with you about bookings and your account.
  • To verify identities and help keep families and caregivers safe.
  • To operate, secure, and improve our website and services, including analytics and fraud prevention.
  • To meet our legal, accounting, and regulatory obligations.

3. How we share your information

  • With your matched caregiver: the household, children’s, and booking details needed to perform the booking. Caregivers are bound by confidentiality and may not take or share photos or videos of your children without your written consent.
  • With service providers who process information on our behalf (see below), under agreements that require them to protect it and use it only for the services they provide to us.
  • When required by law, or to protect the safety, rights, or property of a child, a family, a caregiver, or Sunhouse.
  • We do not sell your personal information, and we do not share it for third-party advertising.

4. Service providers

We rely on trusted third-party providers to run our service. They act on our behalf under agreements that require them to protect your information and use it only to provide services to us. Our current key providers include:

  • Supabase: secure database, account authentication, and file storage.
  • Cloudflare: website hosting, content delivery, security, email delivery, and bot protection (Turnstile).
  • Stripe: payment processing for memberships and agency fees, and identity verification (Stripe Identity).
  • Square: an option for paying your caregiver directly at the end of a shift.
  • PostHog: privacy-conscious product and website analytics.

This list reflects our current providers. As our service grows, we may add, remove, or change providers, and we will keep this list reasonably up to date. Any new provider is held to the same obligation to protect your information.

Some of these providers may store or process information outside Canada, including in the United States. Where that happens, the information may be subject to the laws of those jurisdictions, and we take reasonable steps to ensure it receives a comparable level of protection.

5. Cookies and analytics

We use essential cookies to keep you signed in and to make the site work. We also use privacy-conscious, first-party analytics to understand how the site is used so we can improve it. You can control cookies through your browser settings, though disabling essential cookies may affect features such as login.

6. How long we keep your information

We keep personal information for as long as we need it to provide our services to you and to meet our legal, accounting, and tax obligations. When it is no longer needed, we securely delete or anonymize it.

7. How we protect your information

We use reasonable administrative, technical, and physical safeguards, including encryption in transit and access controls that limit who can see your data. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly if an issue arises.

8. Children’s information

Our services are used by parents and guardians, not by children. We collect information about children only from the adults responsible for them, and only to arrange and deliver care safely.

9. Your rights and choices

Under PIPA, you may:

  • Ask to access the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Withdraw your consent to our use of your information, subject to legal or contractual limits. Withdrawing consent may mean we can no longer provide some or all of our services.

To make a request, email hello@sunhousebabysitting.ca. We will respond within a reasonable time and may need to verify your identity first.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Significant changes will be communicated with reasonable notice.
